5 factors that move the price
Every quote is custom. The rate you receive depends on these factors more than any published range:
Event vs recurring
Single event days billed per vehicle per day. Recurring employee shuttles billed per month with a 6 or 12-month contract.
Multi-vehicle deployments
Events using 5+ coaches get 10 to 20 percent volume pricing plus a dedicated on-site event coordinator included.
Standby time
Included in event rates up to 4 hours of standby. Beyond that, standby runs 75 to 150 dollars per hour.
Multi-shift schedule
Recurring routes with 2 shift changes baseline. 3-shift coverage adds 25 to 50 percent to monthly rate.
Corporate branding
Vehicle branding (window graphics, logo wraps) available at cost of 300 to 1,200 dollars per vehicle per event, or included on 12-month recurring contracts.
Coordination and reporting
Dedicated event coordinator, live GPS route tracking, and weekly on-time performance report included on any recurring contract or event with 5+ vehicles.
Worked example: 200-attendee 2-day corporate conference in Orlando
200 attendees at Orlando conference at Rosen Shingle Creek, shuttle needed between 3 hotels and the venue across 2 days: 3 x 56-passenger motorcoaches at 2,400 dollars each per day = 7,200 dollars per day x 2 days = 14,400 dollars vehicle cost. Add dedicated event coordinator (included at 3+ coaches) and 500 dollars daily gratuity = 15,400 dollars total, or 39 dollars per attendee for 2 full days of unlimited hotel-to-venue movement.

Frequently asked questions
How much does a corporate event shuttle cost?
A corporate event shuttle costs 1,200 to 1,800 dollars per day for a 25-passenger executive minibus, 1,400 to 2,400 for a 36-passenger midsize coach, and 1,800 to 3,600 for a 56-passenger motorcoach. Multi-day contracts and multi-vehicle deployments get 10 to 20 percent volume pricing.
How many buses do we need for a 300-person conference?
For a 300-attendee conference running peak-hour hotel-to-venue shuttles, deploy 6 to 8 coaches on continuous 15 to 20 minute loops so no attendee waits longer than 10 minutes. That is typically 6 motorcoaches or a mix of 4 motorcoaches plus 2 minibuses to handle overflow and VIP breakouts.
How much does a recurring employee shuttle cost per month?
A recurring employee shuttle route runs 3,800 to 6,500 dollars per month for a single-route 25-passenger minibus and 8,000 to 12,000 dollars per month for a 55-passenger motorcoach with 2 shift-change windows. Volume pricing on multi-route contracts drops per-vehicle cost by 10 to 20 percent.
Is there a minimum contract length?
Standard recurring employee shuttle contracts run 6 or 12 months with 30-day cancellation notice. Short-term project shuttles (construction site, plant shutdown, event setup) run 2 to 12 weeks at week-billing rates. Trial contracts of 30 days let you validate ridership before committing.
Do you provide branding on corporate shuttles?
Yes. Removable window graphics and full logo wraps are available at 300 to 1,200 dollars per vehicle per event, or included at no charge on 12-month recurring contracts. Turnaround for branded vehicles is 5 to 7 business days from artwork approval.
