What breaks with standard-market charter vendors
The 4 pain points that come up on almost every Wedding Planners intake call:
- Guest shuttle providers ghosting the week of a peak Saturday wedding
- Getting 3 different price quotes from the same carrier depending on who picks up the phone
- Late-night pickup drivers not knowing which entrance the reception exits from
- Client changing headcount 14 days out and vendor refusing the modification
What we do differently for Wedding Planners
Planner rate card
Locked hourly rate across all bookings for the calendar year. Same rate whether the wedding is 40 or 400 guests. No haggling per event.
Priority peak-Saturday booking
Peak Florida wedding Saturdays (October through April) fill 6 to 9 months out. Planner accounts get a hold-the-date reservation up to 12 months out at no deposit.
Dedicated dispatcher
One dispatcher assigned to your account for the season. Knows your venue portfolio, your recurring hotel blocks, and your standard contract terms. On the phone directly, not through a ticket queue.
Formal-attire drivers standard
Black suit driver attire included on every wedding booking, no upcharge. No paying extra for basic professional presentation.
Continuous-block pricing
6, 8, or 10 hour continuous blocks that include ceremony standby, cocktail transfer, reception, and late-night guest returns. Cheaper than booking two separate trips.
14-day modification window
Headcount, timeline, or vehicle class changes accepted at no fee up to 14 days out. Standard-market carriers charge 15 percent modification fees inside 30 days.
How the workflow works
Frequently asked questions
Do you offer wedding planner discounts?
Yes. Planner accounts get a locked hourly rate applied across all bookings for the calendar year, typically 5 to 10 percent below standard published rates. Same rate for 40-guest and 400-guest weddings. The tradeoff for the discount is a minimum annual volume commitment (typically 10 to 15 weddings per year) confirmed at onboarding.
Can we hold peak Saturday dates without a deposit?
Yes for planner accounts. Hold-the-date reservations for peak Florida wedding Saturdays (October through April) require no deposit up to 12 months out. Standard clients need a 25 percent deposit at booking. The hold converts to a firm booking 60 days out when your client signs the wedding contract.
What happens if we need to change vehicle class the week of the wedding?
Planner accounts get free vehicle-class changes up to 14 days out. Inside 14 days, class changes are subject to availability but usually accommodated without fee for planner accounts. Standard-market accounts pay 15 percent modification fees for same changes.
Do drivers wear formal attire?
Yes on every wedding booking. Black suit is standard, no upcharge, no advance request required. Alternate attire (tuxedo, white gloves for VIP transfers) available on 48 hours notice for a modest add-on.
How do you handle multi-hotel wedding shuttles?
Multi-hotel loops are standard on planner accounts. Deploy 2 shuttles running parallel 15-minute rotations for weddings 100+ guests across 2 to 4 hotels. Wedding coordinator sends written pickup schedule to drivers 48 hours out so guests know exactly when to be in the lobby.
